Background
In cases where Webhook integrations (e.g., Gravity Forms, Contact Form 7, or similar) or embedded forms cannot be used, the Property Shell Lead Mailbox offers an alternative way to automatically process inbound lead enquiries.
By forwarding your lead notification emails to Property Shell, leads can be automatically added to your account.
Supported Lead Sources
Property Shell currently supports the following platforms:
allhomes.com.au
urban.com.au
apartmentdevelopments.com.au
openlot.com.au
commercialrealestate.com.au
realcommercial.com.au
zango.com.au
downsizing.com.au
? Tip:
We can also support additional or niche providers using our Email Parser.
Installing and Enabling the Lead Mailbox
Navigate to Settings (via the top-right dropdown menu).
Click Integrations.
Locate Lead Mailbox in the integrations list.
If not already installed, click Install.
Sending an Email to the Lead Mailbox
Within the Lead Mailbox Integration screen, you’ll find a unique email address for your account.
Example:
client123@mail.propertyshell.com
Forward all your lead notification emails to this address.
Ensure that the body of the email follows the correct XML format, as shown below.
Example Lead Email Format
If your website or CRM does not have a direct integration option (e.g., Elementor plugin or a custom site), you can send leads in the following XML structure:
<property_shell_lead>
<full_name>John Smith</full_name>
<first_name>John</first_name>
<last_name>Smith</last_name>
<email>john@smith.com</email>
<phone>03 9333 3333</phone>
<mobile>0433 122 122</mobile>
<postcode>3122</postcode>
<suburb>Suburb</suburb>
<project_name>Project Name</project_name>
<status>Status</status>
<rating>Rating</rating>
<campaign_name>Campaign Name</campaign_name>
<campaign_source>Campaign Source</campaign_source>
<ip>123.123.123.0</ip>
<activity_message>Activity Message</activity_message>
<referrer>https://www.google.com</referrer>
<utm_campaign>value</utm_campaign>
<utm_source>value</utm_source>
<utm_medium>value</utm_medium>
<utm_content>value</utm_content>
<utm_term>value</utm_term>
<custom_fields>
<price_range>$400-$500</price_range>
<interested_in>Apartments</interested_in>
</custom_fields>
</property_shell_lead>
Required Fields
To ensure the lead is processed correctly, you must include:
Either
<full_name>or both<first_name>and<last_name><project_name>
⚠️ Note:
Custom fields vary between accounts. You can view and confirm your available custom fields under
Settings → Custom Fields within Property Shell.
Different CRMs or website platforms may format and populate these fields differently — adjustments may be required for compatibility.
Testing the Integration
After setting up the Lead Mailbox, please:
Send a test enquiry to your assigned mailbox email.
Notify Property Shell support with details of the test.
Our technical team will review and ensure all fields are correctly mapped and received.
Field Mappings
To ensure leads are automatically assigned to the correct Project, set up Field Mappings.
From the Lead Mailbox Integration screen, click the pencil icon in the bottom-right corner.
Click + Add Field Mappings.
Define your mapping rules using the following options:
Step | Field | Example |
|---|---|---|
1 | When or Always Set | When |
2 | Email Subject or Address | Email Subject |
3 | Equals or Contains | Contains |
4 | Value | Sun |
5 | Target Field | Project |
6 | Action | Set to |
7 | Project Name | Sun Residences |
Example rule:
When “Email Subject” contains “Sun”, set Project to “Sun Residences”
This ensures any incoming lead with “Sun” in the subject line is automatically allocated to the Sun Residences project.
⚠️ If no field mappings are configured, leads will enter Property Shell unallocated and will not trigger lead allocation rules.
