Background
Where Webhook integrations (eg. Gravity Forms, Contact Form 7 or similar) cannot be achieved, or embedded forms isn't an option, the Property Shell Lead Mailbox can be used as another option to process inbound lead enquiries.
Automatically add leads into Property Shell simply by forwarding your lead emails to us.
Currently, we support:
- allhomes.com.au
- urban.com.au
- apartmentdevelopments.com.au
- openlot.com.au
- commercialrealestate.com.au
- realcommercial.com.au
- zango.com.au
- downsizing.com.au
We can also support other fringe providers through the use of our Email Parser.
Installing and Enabling The Lead Mailbox
- Head to Settings (from the top right-hand corner dropdown menu) and click Integrations
- Locate and click the Lead Mailbox integration
- Click Install if the integration isn't installed
Sending An E-mail To The Lead Mailbox
- Inside the Lead Mailbox Integration screen, you will find an e-mail address specified for that user account.
2. This is the e-mail address you will use to send the lead notification e-mails. For example, the above screenshot would be xxxxxxx@mail.propertyshell.com
3. Next, the body of the e-mail needs to contain the following format, whereby you need to insert the placeholder values inside the tags. The below shows all possible options for the fields.
It's possible that a site or service isn't included in the above sites that we support out of the box. For example, the "Elementor" plugin is sometimes used on websites and the only way to get a lead from this service is to set up a custom e-mail from there and send it to Property Shell.
In these circumstances, you can use the following format to send leads into Property Shell.
<property_shell_lead> <full_name>John Smith</full_name> <first_name>John</first_name> <last_name>Smith</last_name> <email>john@smith.com</email> <phone>03 9333 3333</phone> <mobile>0433 122 122</mobile> <postcode>3122</postcode> <suburb>Suburb</suburb> <project_name>Project Name</project_name> <status>Status</status> <rating>Rating</rating> <campaign_name>Campaign Name</campaign_name> <campaign_source>Campaign Source</campaign_source> <ip>123.123.123.0</ip> <activity_message>Activity Message</activity_message> <referrer>https://www.google.com</referrer> <utm_campaign>value</utm_campaign> <utm_source>value</utm_source> <utm_medium>value</utm_medium> <utm_content>value</utm_content> <utm_term>value</utm_term> <custom_fields> <price_range>$400-$500</price_range> <interested_in>Apartments</interested_in> </custom_fields> </property_shell_lead>
4. Required fields include "Full Name" or "First and Last Name" fields. You will also need to make sure you send the project_name field.
5. Note that each client will have different custom field options per account. These can be obtained by checking the custom fields section within Property Shell and seeing the list of Custom Fields for the lead.
6. Different systems and platforms may or may not have different ways of populating the values within the format above so this may or may not be an option.
Test Enquiry
After the lead mailbox has been set up, the client needs to send a test enquiry and give us the details about it so our back-end team can code properly the fields and have it received by Property Shell completely.
Field Mappings
Add field mappings based on the subject line or address to associate the lead with the appropriate project, otherwise, your leads will come in without being allocated to a project, therefore causing issues with lead allocation rules.
Using your normal email client, add an automatic rule to forward your lead emails
Once Installed, click on the little pencil on the bottom right part of the screen then click +add field mappings
Once you've selected, you will find something like this
This part is where you set up the rules or key words.
- For the first drop-down, you need to choose from "When or Always Set"
- And then, "Email or Address"
- After that, "Equals or Contains"
- Fourth is the Value
- Fifth is default as "Project"
- Sixth, "to the same value as or to"
- Next, you need to select the Project on the list
E.g When "Email Subject" Contains "Sun" then set "Project" to "Sun Residences"
What happens is every time you received a lead that has "Sun" on the subject line, it will automatically assign it to "Sun Residences"
Further Background
This may be useful when having issues with Contact Form 7 (where webhooks may have some issues, or a wordpress plugin called "Elementor" used to build Wordpress sites.
