Outlook and Gmail Integration

Outlook Overview

The Microsoft Outlook integration allows you to automatically sync email and calendar from Outlook as activities in Property Shell. You must be using one of Office 365, Exchange Online or Exchange Server in order to utilise this integration.


The email component of the integration allows emails sent to and from purchasers and leads to be visible on the activity page of either a lead or property allowing you to see the full history of communication without having to manually log notes.


The calendar component of the integration allows you to sync calendars between Property Shell and Outlook, so any changes you make or see within Outlook will also be reflected in Property Shell‘s calendars (and visa versa).


Navigating to Outlook Integrations

  1. From the upper-right part of the page, click the 3 dots.
  2. Select Settings.
  3. From the System Settings, Select Integrations.
  4. Click Outlook



Email Integration

  1. Once an email account has been connected and the settings correctly set under Connect Outlook Account Settings, any emails received or sent from that email account will be matched to a person within Property Shell using the email address.
  2. This email will appear within the activity feed of a lead or a property.
  3. You can blacklist email addresses for those you do not want to be synced by entering addresses (such as john@example.com) or an entire email domain (such as *@example.com) in order to ignore those emails from being synced.
  4. For added security, emails sent to and from your own domain (your own company) will not be synced.
  5. You can also restrict which folders you want to be synced if you want even further fine-grained control.
  6. Any user who has access to view a particular property or lead where the email has been added to the activity will be able to see the email unless you choose not to display Outlook activities in the activity feed for a particular team. To disable a team from seeing Outlook emails, you can go to the Access section, click the Records tab and head to the Activity section. From here, you can restrict what types of activities a user can see (with Outlook being one of the options).
  7. After conducting the original syncing to retrieve historical data, emails will appear in the activity feed in real-time


Calendar Integration

  1. Property Shell‘s integration with Outlook allows for one or two way calendar syncing. Any appointments made within either Calendar can be mapped and matched within both systems.
  2. Two-way syncing allows for changes to be made in either calendar and for entries to appear in both calendars.
  3. Any entries created within Outlook will be created within Property Shell but only ever include attendees within that booking if the attendees email address already exists within Property Shell.
  4. Any entries created within Property Shell will be created within Outlook. When the Outlook event is created from Property Shell, it‘s important to note that Outlook will also automatically send out invitations to the associated email address.
  5. Acceptances (or tentatively accepted, cannot attend notices) will also be marked as activity items within Property Shell.
  6. You may be utilising one of Property Shell‘s other calendar integrations such as Acuity Scheduling. If syncing from Acuity through to Property Shell and then to Outlook, invitations will also be sent out in this scenario so be sure you have this set up as desired. You may also want to disable a direct Outlook to Acuity integration otherwise you may end up with events that are likely to be duplicated.



Installation

  1. Click on the Install button on this page to connect an account.
  2. Once you have installed it, be sure to check and set the correct settings once the Outlook account has been connected.



Gmail Overview

The Gmail integration allows you to automatically sync email and calendar from Gmail as activities in Property Shell.


The email component of the integration allows emails sent to and from purchasers and leads to be visible on the activity page of either a lead or property allowing you to see the full history of communication without having to manually log notes.


The calendar component of the integration allows you to sync calendars between Property Shell and Google Calendar, so any changes you make or see within Google will also be reflected in Property Shell‘s calendars (and visa versa).

Installation

Step 1 - Add Property Shell App to Google Admin Console/Workspace (Account Admins)

  1. Important: You only need to follow this process once.
  2. Sign in to your Google Admin console. You must be signed in to Google Workspace as a super administrator for this task.
  3. In the Admin console, go to Menu and then Security  Access and Data Control  API controls.
  4. Under App Access Control, click Manage Third-Party App Access
  5. For Configured apps, click Add app.
  6. Choose OAuth App Name or Client ID
  7. Enter the  Client ID and click Search. The client ID value will be  432069746483-d1d91d1ibd8tjgq56lttc2744eobcn13.apps.googleusercontent.com
  8. Click Select once you find the Property Shell app
  9. Check and agree to the prompted checkboxes and click Select.
  10. Select Trusted and click Configure to finalise.

Step 2 - Install from Property Shell (Individual Users)

  1. Once an administrator from your Gmail account adds Property Shell to your Google Admin workspace, you will be able to integrate with Gmail and Google Calendar.
  2. Click on the Install button on this page to connect an account and follow the prompts. Be sure to grant Property Shell the prompted permissions.
  3. If you are prompted with an unverified application warning or similar, it means you have not completed step 1. We highly recommend you complete step one to ensure this integration works as intended.
  4. Once you have installed it, be sure to check and set the correct settings on this page to ensure your accounts are linked as desired.


Troubleshooting


Sometimes when you try to connect Outlook it may automatically be trying to connect another microsoft e-mail account (maybe a hotmail.com one, or live.com one). You need to make sure you're logged out of these accounts. Or alternatively, log in to Property Shell in an incognito window or different browser and then try and integrate (where you're not logged into an Outlook account).
